How to Scan Documents with Your Phone (No Scanner Needed)
You don't need a scanner to send documents for jobs, universities, banks or offices. Your phone can create clean, cropped PDF scans that look professional.
Android: Google Drive scanner
- Open Google Drive, tap + → Scan.
- Point the camera at the document. It detects edges automatically.
- Adjust the crop, apply filters (like black and white), and add more pages.
- Tap Save, name the file, and it saves as a PDF in Drive.
Many Android phones also have a scanner built into the camera app or Google Lens.
iPhone: Notes or Files
- Open Notes, create a note, and tap the camera or attachment icon → Scan Documents.
- Hold the phone over the document; it captures automatically.
- Tap Save, then share or save to Files as a PDF.
You can also scan from the Files app with the three-dot menu → Scan Documents.
Tips for great scans
- Place the document on a dark, flat surface for good contrast.
- Use bright, even light; avoid shadows from your phone.
- Hold the phone parallel to the page.
- Use black and white mode for text documents to reduce file size.
- Name files clearly, like
Matric-Certificate.pdf.
Multi-page documents
Add all pages into one scan session so they save as a single PDF, in the right order.
Sign documents
On iPhone, open the PDF and use Markup to add your signature. On Android, many PDF apps and Google Drive's editing tools let you sign.
Extract text
Google Lens and iPhone's Live Text can copy text from documents. See converting PDF to Word.
Privacy
Scans of ID cards and certificates are sensitive. Store them in secure cloud storage with 2FA, share only with trusted recipients, and consider adding a watermark like "For job application only".
Meeting common upload requirements
Online applications often have strict file rules. Here's how to meet them:
- "PDF only": save scans as PDF, not JPG.
- "Maximum 1 MB": use black and white mode, reduce quality in scanner settings, or compress the PDF.
- "Single file with all pages": add all pages in one scan session.
- "Clear and legible": use good light and avoid blur; check by zooming in before uploading.
- "Colour copy of ID": use colour mode for ID cards and photos.
Organise your important scans
Create a secure folder for key documents, such as ID card, passport, educational certificates, vehicle papers, property documents and medical records. Having clear scans ready saves time for applications and emergencies. Store them in cloud storage protected by 2FA, and keep a copy offline on a password-protected device or encrypted drive.
Scanning photos and old documents
For old family photos, apps designed for photo scanning, like Google PhotoScan, reduce glare by combining several shots. Place photos on a dark surface, avoid overhead lights that reflect, and clean the photo gently before scanning. See organising digital photos.
