Printers have a reputation for failing at the worst moments, like right before a school deadline or office meeting. The good news is that most printer problems come down to a few common causes: connection, stuck jobs or drivers.

Start with the basics

  • Is the printer switched on, with no error lights or messages on its screen?
  • Does it have paper, and are ink or toner levels okay?
  • Is there a paper jam? Open the covers and check.
  • For USB printers, try a different USB port and cable.
  • For Wi-Fi printers, is it connected to the same network as your PC?

Turning the printer and PC off and on again fixes a surprising number of problems.

Printer shows as "Offline"

  1. Go to Settings → Bluetooth & devices → Printers & scanners and select your printer.
  2. Click Open print queue, then the Printer menu, and make sure Use Printer Offline is not ticked.
  3. For Wi-Fi printers, print a network configuration page from the printer's menu to check it is connected and has an IP address.
  4. Restart your router if the printer keeps losing its connection.

Clear a stuck print queue

A single stuck job can block everything after it.

  1. Open the print queue and try cancelling all documents.
  2. If they won't cancel, open an admin terminal and run net stop spooler.
  3. Delete everything inside C:\Windows\System32\spool\PRINTERS.
  4. Run net start spooler and try printing again.

Run the troubleshooter

Go to Settings → System → Troubleshoot → Other troubleshooters → Printer. It checks the spooler service, connection and driver issues automatically.

Reinstall the printer driver

  1. Remove the printer from Printers & scanners.
  2. Download the latest driver or software for your exact model from the manufacturer's website (HP, Canon, Epson, Brother and so on).
  3. Install it and add the printer again.

Check the default printer

If documents go to the wrong printer, turn off Let Windows manage my default printer in Printers & scanners settings and set your preferred printer as default. "Microsoft Print to PDF" is often selected by mistake.

Poor print quality

Streaks, faded prints or missing colours usually mean low ink or clogged print heads. Use the printer's built-in head cleaning and nozzle check tools, found in its menu or software. Avoid running cleaning too often, as it uses ink.

Tip: if you only need a quick print and nothing works, save the document as PDF and print from your phone using the printer's mobile app.

Setting up a Wi-Fi printer the right way

Many printer problems come from a shaky first setup. If your wireless printer keeps going offline, redoing the setup carefully often fixes it for good.

  1. Connect the printer to your Wi-Fi using its control panel, WPS button, or the manufacturer's mobile app. Make sure it connects to your main network, not a guest network.
  2. Print a network configuration page and note the printer's IP address.
  3. Reserve that IP address in your router's DHCP settings (sometimes called address reservation). This stops the printer's address changing, a very common cause of "offline" errors.
  4. Install the manufacturer's full driver package on each computer.
  5. Add the printer in Windows through Settings → Printers & scanners → Add device.

Printing from phones

Most modern printers support printing from phones. On Android, open a document, tap Share or the menu → Print, then choose the printer. On iPhone, printers supporting AirPrint appear automatically in the Share → Print menu. Manufacturer apps add scanning and ink-level checks.

Save money on ink

  • Print drafts in Draft or Economy mode.
  • Print in greyscale when colour isn't needed.
  • Print documents at least once a week to stop inkjet nozzles drying out.
  • Consider ink tank printers if you print a lot; refills cost far less per page.

When to consider a new printer

If your printer is old, no longer receives driver updates for your Windows version, or repair costs approach the price of a new one, replacing it may be the better choice, especially if you print often.
