Google Docs Tips for Students and Professionals
Google Docs is a free word processor that works in any browser, saves automatically and lets people work together. These tips will make you much faster.
Create documents fast
Type docs.new in your browser address bar to start a new document instantly. Similarly, sheets.new and slides.new.
Use templates
From the Docs home page, open the Template gallery for CVs, letters, reports and project proposals.
Voice typing
Go to Tools → Voice typing (in Chrome) and dictate. Say "period" or "new line" for punctuation.
Use headings and outline
Apply Heading styles to titles. Open View → Show outline to navigate long documents. Insert a table of contents with Insert → Table of contents.
Comments and suggestions
- Select text and press Ctrl + Alt + M to comment.
- Switch to Suggesting mode (top right) so edits appear as suggestions others can accept.
- Type @ and a name in a comment to notify someone.
Version history
File → Version history shows every change and who made it. Restore earlier versions if something goes wrong.
Smart chips
Type @ to insert people, dates, files, dropdowns and meeting notes.
Work offline
In Docs settings, turn on Offline to edit without internet in Chrome. Changes sync when you reconnect.
Explore and dictionary
Use Tools → Dictionary and Tools → Word count (Ctrl + Shift + C). Turn on "Display word count while typing" for essays.
Share safely
Share with specific people as Viewer, Commenter or Editor. See sharing files in Drive.

Group work tips
- Assign sections by writing names next to headings.
- Use comments with @mentions to assign tasks; they appear in the person's email.
- Use Suggesting mode for editing others' sections.
- Check Version history to see who wrote what, which helps with fair grading.
- Name versions ("Final draft before submission") in Version history for easy reference.
Citations and research
Docs includes a Citations tool (Tools → Citations) to format references in APA, MLA or Chicago style, and insert a bibliography. Always verify citation details against the original sources.
Accessibility
Turn on screen reader support, use headings for structure, and add alt text to images (right-click → Alt text), making documents easier for everyone to read.
